Account and workspace
In FlowQi you sign in with a personal account (your email and password). Your work lives inside a workspace — the organization (or tenant) you and your colleagues share. One account can belong to several workspaces, so you can switch between your own organization and any others you’ve been invited to.
The avatar menu at the top right shows the workspace you’re currently in (for example FlowQi) along with your role. Your personal settings — name, avatar, theme, language, and security — live in your Profile. Organization-wide settings live in Tenant Settings .
Most people don’t create a workspace at all — they’re invited to one by an admin (see Managing users ) and then activate their account. The steps below cover both joining an existing workspace and creating a new one yourself.
Your profile
Open the avatar menu at the top right and choose Profile to open the Profile dialog. It has four tabs:

Theme and language
On the Appearance tab you choose a theme (Light default or Dark default) and your Language. This language is personal — it changes the interface for you only. It’s separate from the workspace’s default language, which an admin sets in Tenant Settings .
Your Role on the Profile tab is read-only. Roles and permissions are managed by an admin under Managing users .
Creating your account
- Go to the Create your FlowQi account page.
- Choose how you want to sign up:
- Google or Microsoft — sign up with an existing account.
- Email — enter your email address and click Create Account.
- The page is protected by a security check (Cloudflare Turnstile). The sign-up button stays disabled until the check passes.
If you sign up with email, FlowQi sends a verification email. Open it and click the link to continue. The link returns you to FlowQi and verifies your account automatically.
Already have an account? Use Sign in on the same page to log in instead.
Setting your password
After verifying your email, you set a password. Your password must be:

Enter the same password twice (Password and Confirm password) and click Set Password & Verify.
You can’t reuse a password you’ve used before. If you see a “password reused” message, pick a new one.
If you signed up with Google or Microsoft, you skip this step — those providers handle your login.
Getting started: your details
The first time you set up a workspace, FlowQi walks you through a short Get Started flow. You can go Back at any step.

Step 3 — Your organization

Click Finish to create your workspace. FlowQi takes you straight to your dashboard.
Your workspace region controls billing currency and where your data lives. Choose carefully — it’s set when the workspace is created.
Switching workspaces
If your account belongs to more than one workspace, you’ll see the select organization screen. It lists two groups:
- Your Organization — workspaces you’re a member of.
- Guest Access — workspaces you’ve been invited to as a guest.
Each entry shows the workspace name and your email. Click an active workspace to open it.
Membership status
Your membership in a workspace has a status. You can only open a workspace where you’re active; the others are shown but can’t be opened.

Can’t open a workspace? Hover over the status label to see why, and ask that workspace’s administrator to reactivate your account.
Joining an existing workspace
You don’t always create a workspace yourself — in fact, most people don’t. If an admin invites you (see Managing users ), you’ll receive an invitation by email. Accepting it links the workspace to your account and activates your membership, and it then appears on your select organization screen.
