Subscription & Billing

How FlowQi is billed

FlowQi starts on the Basic plan, which has no end date and no seat limit. When you need more, you move to Core at €25 per user per month for everyone in the workspace, or €20 when billed yearly.

Two modules are billed separately, only for the people who use them:

Time & Resource Management works on Basic as well as on Core. Financial Management needs Core, but not Time & Resource Management. Prices exclude applicable taxes.

So on Core, a consultant who tracks hours costs Core plus Time & Resource Management, and a designer who does neither costs Core alone. On Basic, that consultant costs only Time & Resource Management and the designer costs nothing. See Plans: Basic and Core for what each plan contains.

You might ask about your subscription, plan, invoices, payment method, or pricing — it is all managed under Subscription & Billing.

This keeps your bill tied to real usage: pay for the modules your team works in, for as many people as need them. You choose a billing periodMonthly or Annual — and the modules you buy here become available to assign to people in your organization. You hand out access to individual users on the Users page and to whole teams on the Teams page.

What you manage here

The Billing page in the Admin Console is where you manage everything about your organization’s subscription and payments. It’s organized into four tabs:

Where to find Billing

Open the Admin Console from your avatar menu (click your profile picture in the top-right corner, then Admin Console) and go to Billing in its sidebar. You’ll land on the Subscription tab. Switch tabs at the top of the page.

Module packages

FlowQi is sold as module packages, not a single flat plan. There are two:

The Subscription tab splits packages into two sub-tabs:

  • Purchased Modules — packages you’ve already subscribed to or are trialing.
  • Available Modules — packages you can still add.

Billing period: monthly or yearly

Each package is priced per user and can be billed Monthly or Yearly. Use the period toggle to switch between the two. With a yearly plan you pay less — the card shows a saved % badge and the discount you get compared to paying monthly.

Starting a trial

On an available package you can click the trial button to try it free for 14 days. Core, Time & Resource Management and Financial Management can each be tried this way. The package then appears under Purchased Modules with a Trial status, a trial start date, and a trial end date.

A trial lets the whole team explore a package before you commit. You can cancel the trial at any time, or upgrade it to a paid subscription.

Subscribing to a package (checkout)

  1. On the Available Modules sub-tab, click Upgrade (or Upgrade on a trial package).
  2. The Checkout dialog opens. If you don’t have a billing address yet, you’ll be asked to add one first.
  3. Select modules you want and choose who gets access — you can give access to all tenant users or assign specific members.
  4. Review the Order summary: module, users, price per user, subtotal, and total. A yearly plan shows how much you saved.
  5. Click Proceed to checkout to activate.

Time & Resource Management does not require Core: a team on Basic can buy that module on its own. Financial Management does require Core.

Managing a purchased package

A purchased package card shows its Status, key dates, and Users:

Click Manage on a package to open its user manager, where you control who has access. This is the seat-by-seat view: every person here is a billable seat on the module. You can also assign module access from the Users and Teams pages.

Adding and removing users

In the module manager you see everyone with access, with columns for Name, Email, Role, and Added date. From here you can:

  • Add new user — open an existing user or invite someone new by email to this subscription.
  • Remove from module / Keep in module — mark users to add or remove.

Roles shown include Owner, Team admin, User, and Guest user. You can’t remove yourself from a module.

Changes aren’t applied until you save. While you have unsaved changes, FlowQi reminds you to save to apply or cancel to discard.

How user changes are billed

Because FlowQi bills per active user and upfront, mid-cycle changes are prorated:

  • Adding users mid-cycle creates an immediate prorated charge for the days remaining in the current billing cycle.
  • Removing or deactivating users keeps them billed until the end of the current cycle — there’s no refund for unused time. The change takes effect from the next cycle.

Cancelling a subscription or trial

  1. On a purchased package, click Cancel subscription (or Cancel trial for a trial).
  2. For a paid subscription, choose when access should end:
    • Cancel at end of billing cycle — keep access until the current period ends, then the subscription stops.
    • Cancel immediately — access ends right away, with no refund for the current period.
  3. Confirm with Cancel subscription.

Cancelling can’t be undone for an immediate cancellation. If you scheduled cancellation for the end of the cycle, the card shows the scheduled end date and a Revoke cancellation button so you can keep the subscription active.

Payment methods

On the Payment Method tab you manage the cards used for subscriptions and billing.

  • Click Add Payment Method to add a card (handled securely through Stripe).
  • Set a card as the Default for subscriptions and billing.
  • Remove a card you no longer use.

Each card shows its brand, the last digits, and the Expires date.

Billing address

Your billing address appears on invoices and receipts. Click to Update Billing Address and fill in:

Invoices

The Invoices tab lists every invoice for your organization. Each row shows:

You can search by invoice number and filter by status. Select one or more invoices with the checkboxes to download them, or open an invoice to view it as a PDF, download as PDF, or send by e-mail.

Invoices are issued in your account’s currency, EUR or USD, depending on your region: EU, EEA, UK and Switzerland in EUR, everyone else in USD, at the same amounts. Tax is calculated automatically. See Plans: Basic and Core for how flowqi.com shows this.

Credit Wallet

The Credit Wallet tab shows your account balance and the transactions behind it.

  • Current balance — shown as Credit available (can be applied to future invoices) or Amount due (will be charged to your payment method).
  • The transaction list has columns for Description, Status (Credit or Due), Amount, and Date.

You can filter by Credit or Due and by date range. Credit usually comes from prorated adjustments — for example, when a subscription change leaves a balance in your favor.

Permissions

Access to the Billing page is part of the Admin Console and depends on your role. If you don’t see a tab, button, or the Billing page itself, you’re missing the matching permission — ask your administrator.
