Managing Teams

What is a team?

A team is a group of users inside your FlowQi organization. You use teams to organize people by department, project, or function. A team has an admin and a set of members, plus a name, a description, and an optional parent team. Teams can be nested, so you can mirror your real organizational structure.

You might call them groups, departments, or squads — in FlowQi they are teams.

Beyond grouping people, teams are useful for access: a team can be granted module access and assigned to projects, so you can give a whole department the right tools and project visibility at once (see Project roles and sharing ).

Teams are managed from the Admin Console and live within your organization (tenant). The same person can be a member of more than one team.

Where to find Teams

Open the Admin Console from your avatar menu (click your profile picture in the top-right corner, then Admin Console) and go to Teams in its left navigation. The page is titled Teams with the subtitle Manage and organize teams and their members. The Admin Console also holds Users , Billing , Permissions , and Tenant Setting ; use Back to App to return to the main app.

The teams overview

Teams are shown in a table. Each row has the following columns:

Teams with sub-teams show a chevron (›) on the left of the name. Click it to expand or collapse the team and reveal its child teams, which are indented under the parent.

At the top of the page you can:

  • Search teams — type in the search bar (Search team…) to find a team by name.
  • Select — use the checkboxes to select one or more teams for bulk actions.
  • + Create New Team — add a new team (top right).

The list is paginated. Use Teams per page and the pager to move between pages.

Creating a team

  1. Click + Create New Team in the top right.
  2. The New Team dialog opens. Fill in:
    • Team Name — required.
    • Parent Team — optional; choose a team to nest this one under. This field only appears when a parent team is available.
    • Team Members — required; select at least one teammate from the list. You can pick multiple people.
    • Description — required; write a short description of the team.
  3. Click Done to create the team.

A new team needs a name, a description, and at least one team member before you can save it. The list of teammates you can add comes from the users in your organization.

Editing a team

  1. In the overview, select the team with its checkbox.
  2. In the action bar that appears, click Edit. (Editing works on one team at a time — the button is disabled if you select more than one.)
  3. In the Update Team dialog, change the Team Name, Parent Team, Team Members, or Description.
  4. Click Update to save your changes.

A team cannot be its own parent. When you edit a team, that team is left out of the Parent Team list so you can’t nest it under itself.

Team hierarchy and parent teams

Teams can be organized into a tree. Choose a Parent Team to place a team under another one. The overview shows this structure with expandable rows: child teams appear indented under their parent.

The member count of a team includes the members of its sub-teams, so a parent team reflects everyone underneath it.

If a parent team is later removed, its child teams are not deleted — they simply lose the parent link and stay in your organization.

Deleting teams

  1. In the overview, select one or more teams with the checkboxes.
  2. In the action bar, click Delete.
  3. Confirm in the Delete Team dialog (Are you sure you want to delete this team?).

Deleting a team removes the team and its membership links. The users themselves are not deleted — only their membership of that team.

Deleting a team can’t be undone from this screen. Make sure no one still relies on the team before you remove it.

Permissions

What you can do with teams depends on your role. There are separate permissions for viewing, creating, updating, and deleting teams, and several of these come in scopes — all teams, your team’s, or your own:

If a button is missing — for example + Create New Team, Edit, or Delete — you don’t have the matching permission. Ask your administrator to grant it, or see Permissions for the full picture.
