Private Notes
What are private notes?
The Private Notepad is your own personal notebook inside FlowQi. It’s a place to jot down quick reminders, follow-up points, or anything you want to keep at hand — without sharing it with the rest of your organization.
You might call it a scratchpad, memo, or personal notes — in FlowQi it is the Private Notepad.
Private notes are exactly that: private. A note you create is only visible to you. Other members of your organization can’t see your notes, even if they have access to the same contacts, projects, or circles.
Where to find your private notes
The Private Notepad lives on your dashboard, the first screen you see after logging in. You’ll find it as a widget titled Private Notepad.
If you haven’t written anything yet, the widget shows the message “You haven’t created any private notes yet.” As soon as you add your first note, it appears in the list.
Adding a note
- On the dashboard, find the Private Notepad widget.
- Click Add note.
- In the Add new note dialog, fill in:
- Title — a short name for the note (required).
- Note — the body of your note (required).
- Click Save note.
The note is saved immediately and appears at the top of your notepad.
The Note field is a rich-text editor — you can format your text with headings, bold, lists, and links to keep longer notes readable.

Both fields must be filled in. If you leave the title or the note empty, FlowQi shows a validation message and won’t save until you complete them.
Viewing and reading a note
Your notes are listed in the Private Notepad widget. Click a note’s title to expand it and read the full text. Each note also shows when it was created.
Editing a note
- In the Private Notepad, open the menu on the note (the … icon).
- Choose Edit.
- Update the Title and/or Note in the Edit note dialog.
- Click Update note.
If you open the editor but don’t change anything, FlowQi simply closes the dialog without creating a new version.
Deleting a note
- In the Private Notepad, open the menu on the note (the … icon).
- Choose Delete.
- Confirm in the dialog by clicking Delete.
Deleting a note removes it from your notepad. Because notes are private to you, there’s no shared copy elsewhere — only delete a note when you’re sure you no longer need it.
Who can see your notes?
Private notes are tied to you and to your current organization:
- Only you can see, edit, and delete the notes you create.
- Notes are not shared through a Circle, a contact, or a project.
- Notes belong to the organization you created them in — they don’t follow you to a different organization.
This makes the Private Notepad the right place for personal reminders, and the wrong place for information your colleagues need. For anything the team should see, use a contact’s Notes field, a task, or a project instead.
There’s no separate permission to manage private notes — every user has their own notepad on their dashboard by default.
