FlowQi brings your CRM, projects, time tracking and invoicing into one platform. This page explains how those parts fit together and how to get set up — every section links to the full guides.
How FlowQi fits together
Everything in FlowQi shares the same data, so a client becomes a project, which becomes tracked time, which becomes an invoice — without re-entering anything.
Circles are your workspaces, and they sit underneath all of it. Every contact, organization, project and task belongs to a Circle, which is how you keep teams, clients or parts of your business separate while everything still lives in one login. You get one automatically when you sign up.
Inside a Circle:
- CRM holds your contacts and organizations, grouped with labels and segments. It is the layer the rest builds on.
- Project Management turns that work into projects and tasks, on board, list, calendar and dashboard views.
- Time & Resource Management tracks the hours against that work, plans capacity, and sets the budgets that protect your margins.
- Financial Management bills it — services and invoices, in the same system where the work happened.
Around all of it sit Account & Access for your own profile and sign-in, and Admin & Settings for users, roles, teams, plans and billing.
Set up your account
- Create your account. Go to flowqi.app and sign up with Google, Microsoft, or an email address and password. Signing up is free.
- Name your workspace. FlowQi creates your first Circle for you. Rename it, give it a colour, and add more when you need them — see Creating & managing circles .
- Add your company details. Your company name, logo and region flow through the rest of FlowQi, including your invoices. See Organization settings .
- Invite your team. Invite colleagues by email and give each person a role, which decides what they can see and do. See Managing users and Roles & permissions .
- Bring in your work. Add a few contacts, create one project, track some time against it, and send an invoice.
You do not need to set everything up at once. Start with a couple of contacts and one project — FlowQi is built to fill in as you go.
Keeping your account secure
Sign-in, password resets and two-factor authentication all live in Signing in & MFA . Who can see and do what is decided by roles & permissions and by Circle membership.
When something does not look right
- Something you removed is missing. It is usually recoverable — check Trash, archive & data recovery .
- A record you just made is not in a list. Reload the page, then check you are in the right Circle, since everything is scoped to one. See Switching circles .
- A teammate cannot reach something. Check their role and whether they are a member of that Circle — Members & access .
- Search is not turning up something you know exists. Search covers the circle you are in, so check you are in the right one, and check the record has not been archived or trashed.
Getting help
The fastest route is from inside FlowQi: open the app and click Help to start a chat or open a ticket. You are already signed in, so we can see your workspace and account and skip the “who are you?” questions — which also makes it the safest way to raise anything about billing or account access.
When you write, tell us what happened and when, the page you were on, and what you expected instead. A link or screenshot gets you an answer much faster.
