Task Collaboration
Working together on a task
Every task in FlowQi has a detail panel that opens from the right side of the screen, and can go fullscreen when you want more room. This panel is where a task stops being a single line on the board and becomes a small collaboration hub: a place to break the work down, talk it through, track the time it takes, and see everything that has happened to it.
You might ask about subtasks, checklists, comments, logging hours, or activity history — they all live on the task detail panel.
The panel sets out these tools in a clear order. At the top you split the work with Subtasks and a Check List. At the bottom sit three tabs — Comments, Work logs, and Activity logs — for the discussion, the time, and the history.
This page covers those collaboration tools. For the task’s own fields — assignee, status, priority, dates, tags, and more — see Working with Tasks .
Subtasks
Use subtasks to break a task into smaller tasks. Under Subtasks, click + Add Subtask to add one. The Subtasks header shows the count, so you can see at a glance how many pieces a task has been split into.
Subtasks are real tasks, not just lines of text. Each one carries its own assignee, status, priority, dates, and everything else a top-level task has, so you can hand individual pieces to different people and track them independently. Subtasks can also be nested: a subtask can have its own subtasks, letting you mirror the real shape of larger work.
Because subtasks are part of the same tree, deleting a parent task also removes its subtasks (all the way down). Move a subtask out first if you want to keep it.
Check List
Use a Check List for simple, checkable to-do items that don’t need a full subtask. Under Check List, click + New checklist item to add one, then tick each item off as you complete it — every item is just checked or unchecked. The Check List header shows the count.
The difference from subtasks is deliberate: checklist items are simple checkable lines, not full tasks. They have no assignee, status, or dates of their own — they live inside the one task as a quick, lightweight to-do list.
Reach for subtasks when an item is real work that deserves its own assignee or date, and the Check List for quick steps you just want to tick off without leaving the task.
Comments
The Comments tab at the bottom of the task is the discussion thread for the task. Use it to ask questions, share updates, and keep the conversation right next to the work instead of scattered across chat and email.
The task carries a comment count so you can see there’s a conversation without opening it — the count shows both on the task card on the board and in the detail panel.
Work logs
The Work logs tab lists the time entries logged against the task. The total of those entries shows as Time tracked in the task’s More section, so logged time rolls up to the task automatically.
This page keeps work logs brief on purpose. The full story — how time entries are filled in, how they roll up to a project’s time budget, and how that feeds reporting — lives in Time & Resource Management.
Activity logs
The Activity logs tab shows the task’s change history — an automatic record of what changed on the task and when. Status changes, edits to fields, assignee changes, added subtasks, comments, and work logs all leave a trace here. You don’t write to it; FlowQi keeps it up to date for you, so there’s always an answer to “what happened to this task, and when?”
