Time Tracking
What is a time entry?
A time entry records how long you worked on something. In FlowQi today the working way to log time is directly on a task: every entry — called a work log — captures a duration, a short description of what you did, who logged it, and when. The work logs on a task add up to its total tracked time, so you always know how much effort went into it.
There is also a dedicated Time Entries workspace under Time & Resource Management that brings all your entries together in one place — a list, a timesheet grid, and a calendar. Parts of that workspace are still being rolled out; this page covers what works today (task work logs) and what the workspace will offer.
Logging time on a task
The reliable place to log time is on the task itself.
- Open the task you worked on.
- Click Add time manually.
- In Add your time here, enter the duration in
HH:MM:SSformat — for example06:43:34for six hours, forty-three minutes, thirty-four seconds. - Fill in the Description so it’s clear what the time was spent on.
- Click Add time.
Both a duration and a description are required before the Add time button becomes active.
Enter your time as hours, minutes and seconds, like 01:30:00 for an hour and a half. FlowQi converts it to decimal hours behind the scenes and shows it back as 1h 30m.
Only the task’s assignee can log tracked time on it. If you’re not the assignee, FlowQi tells you that you’re not authorized to update the tracked time.
Where to find a task’s work logs
Open a task to see its detail panel. The activity area shows the work logs for that task: one entry per logged session, newest first. Each entry shows:

If no time has been logged yet, you’ll see No work logs found.
Editing a work log
- In the work logs list, find the entry and open its menu (the three dots).
- Choose Edit log.
- Adjust the time (
HH:MM:SS) and/or the description. - Click Add time to save your changes.
When you edit a log, the entry is updated in place and the task’s total tracked time is recalculated.
Deleting a work log
- Open the entry’s menu (the three dots).
- Choose Delete log.
- Confirm in the Delete Work Log dialog.
Deleting a work log cannot be undone. The entry is removed and its hours no longer count toward the task’s total.

The input must follow the HH:MM:SS pattern. If the format is wrong, FlowQi shows: Please use format: HH:MM:SS (e.g., 06:43:34).
Each work log stores its duration as a number of hours (with two decimals). You can enter the duration directly, or provide a start and end time — in which case FlowQi calculates the hours from the difference. Either way, the result is a single, consistent hours value per entry.
The Time Entries workspace
Open Time & Resource Management › Time Entries for a workspace built around four tabs. The header reads “Track and manage your time” and there’s an Add Time Entry button in the top right.

The Time Entries workspace is being rolled out. The Overview tab currently shows Coming soon, and the other tabs show sample data while the workspace is wired up to your real entries. To log time that counts today, use Add time manually on a task, as described above.
The Time Track table
The Time Track tab lists entries with these columns:

At the top you can search by member, task, project or client, filter by status (Billable / Non-Billable), and sort by name, task, project, client, hours, price, or created date.
The Time Sheet grid
The Time Sheet tab is a monthly grid. Pick a month with the date picker, then read your hours across the days. Each project row shows three running totals — Allocated, Planned, and Logged — and a per-day cell where you can add an entry for that day. A Total column sums the row.
Add Time Entry
The Add Time Entry dialog captures:

You can open this dialog from the page header, from the Time Track toolbar, or by clicking a day cell in the Time Sheet.
Who can do what
What you can do with time tracking depends on your role and permissions:
- Log time — you need the add work log time permission, and you must be the task’s assignee.
- Edit or delete a log — you can always manage your own logs. Editing or removing someone else’s log requires the work-log moderation permission.
- View work logs — you need permission to view the task.
If you don’t see the Add time manually option or the entry menu, you’re missing the matching permission — ask your administrator.
Activity trail
Every change to a work log is recorded in the task’s activity. Adding, updating, and deleting a work log each leave an entry, so the history of who tracked what — and any later edits — stays visible on the task.
